Rules and Regulations 

The Sponsor shall be bound by the rules and regulations set forth herein and by any such amendments or additional rules and regulations which may be established by Linehaul Summit LLC (“The Linehaul Summit”) and communicated to Sponsor from time to time. 

CANCELLATION OF EXHIBIT SPACE OR SPONSORSHIP: In the event of cancellation by the Sponsor, any booth space payment that has already been received by The Linehaul Summit will not be refunded. 

NO-SHOWS: All booths must be set up by 3:00 p.m., Wednesday, June 12th, 2024, the first day of the show. Any booth not set up by this time will be considered a No-Show. Payment will be forfeited and space may be possessed by The Linehaul Summit for such purposes as it may see fit. 

EXHIBIT SIZE: Sponsors must comply with the International Association of Exhibitions and Events (IAEE) Guidelines. All exhibit items must be contained within the booth space assigned. Any exceptions must be cleared with The Linehaul Summit. 

LIGHTING & HEATING: The Linehaul Summit may restrict the use of irregular lighting effects. Exhibits that use heat (ex: cooking), generate smells or any unusual activity or display, must receive clearance from The Linehaul Summit and Significant Events of Texas (contact information identified below). 

AGE LIMIT: No one under 21 years of age will be allowed to register or be on the exposition floor. 

EXHIBIT SERVICES: For procurement of additional exhibit space equipment, as well as any special services desired by Sponsors, The Linehaul Summit has designated Significant Events of Texas, 7515 Larchmont Dr, Dallas TX 75252, 214-792-7310 as its exclusive supplier. To obtain exhibit services contact Significant Events of Texas directly. 

EXHIBIT SIGNS, DRAPES: Significant Events of Texas will furnish each booth with a table, two side chairs, wastebasket, and company ID sign. These items are included in the booth space price set forth above. 

SHIPPING: The convention center cannot accept and store large shipments of exhibit material more than 3 days in advance of the show. Cosign all such material for receipt and storage to Significant Events of Texas. They will deliver for you on setup days. They will arrange to remove empty crates, store them during the show and return them on the dismantling day. Setup day will be: Wednesday, June 12th, 2024 from 11:00am to 3:00pm. Dismantling day will be after 6:00 p.m., Thursday, June 13th, 2024. All exhibits must be packed by 5:30 p.m. on Friday, , June 14th, 2024. 

NON-ASSIGNMENT: Any booth assigned to a sponsor may not be assigned or transferred to another sponsor. 

TRADE SHOW TENTATIVE SCHEDULE: Setup Wednesday, June 12th, 2024 from 11:00am to 3:00pm. Trade Show Wednesday, June 12th from 4:00pm - 7:00pm. Trade Show Thursday, June 13th, 2024 from 1:00pm - 6:00pm. Dismantle Thursday, June 12th, 2024 from 6:00pm - 9:30pm. Schedule package pickups for Friday before 5:00pm.


SPONSOR PRESENTATION TENTATIVE SCHEDULE: Vendor sponsored presentations will be held concurrently with education sessions on Thursday, June 13th, 2024 and on Friday, June 14th, 2024. This schedule is subject to change and has not been finalized. 

FIRE AND SAFETY LAWS: Sponsors are responsible for complying with all Federal, State and City laws. Wiring must comply with fire department and underwriter’s rules. Smoking in exhibits is forbidden. Crowding will be restricted. No Sponsor shall bring into the facility any combustibles. All decorations must be flame proof, and an affidavit evidencing such flame-proofing must be available for inspection by Fire Department Representatives. 

LIMITATION OF LIABILITY: The Sponsor shall indemnify, defend and hold harmless the Irving Convention Center, The Linehaul Summit Company, and Significant Events of Texas and their respective officers, agents, employees, lessors or owners, from all claims for loss, theft, damage or destruction of property, or for any injury to it or its employees, agents, or invitees while participating in the Exhibit and will make no claim for any reason whatsoever against the Irving Convention Center, The Linehaul Summit Company, Significant Events of Texas and their respective officers, agents, employees, lessors or owners except to the extent a third-party claim arises solely from the gross negligence or willful misconduct of the Irving Convention Center, the Linehaul Summit, Significant Events of Texas and their respective officers, agents, employees, lessors or owners in their performance or non-performance of the obligations hereunder. Sponsor shall pay all of its own costs and expenses incurred in producing and setting up the exhibition including, but not limited to, those items listed in the sections titled “Exhibit Size” and “Lighting & Heating” of these Rules and Regulations, and all labor costs. 

ACTS OF GOD, FIRE, STRIKES, TERRORISM, ETC.: In the event that any outside cause, such as war, in or outside the United States of America, fires, strike, terrorism or Act of God such as: earthquakes, or other emergency which prevents the Exhibit from being held, The Linehaul Summit may retain such part of Sponsor’s prepaid fees as is required to compensate The Linehaul Summit Company,

Significant Events of Texas, or the Irving Convention Center for expenses incurred up to the time such contingency shall have occurred. 

PROTECTION OF CONVENTION CENTER PROPERTY: No scotch tape, paste, thumb tacks, nails or other methods may be used to affix signs or posters to the wall. If any signs or posters are leaned on the walls, they must be properly padded so that damage is not caused. If any damage is caused to the convention center property accidentally or otherwise, the Sponsor will be responsible for the full cost of repairs. The Linehaul Summit Company reserves the right to reject applications for booth space and to restrict the manner in which products are displayed so as to prevent undue noise, objectionable odors, offensive display materials, interference with other booths, congestion, etc. The Sponsor shall defend and indemnify The Linehaul Summit Company from all liability, claims, suits, damages, costs and attorney fees arising out of or resulting from Sponsor’s use of music, logos, printed materials, trade names and any other materials, including without limitation any infringement of any third party rights by the use thereof by the Sponsor. 

INSURANCE: Fire, loss theft and personal liability insurance, must be procured by the Sponsor at its own expense. If Sponsor will be bringing vehicles to the exhibition floor or for exhibition on Irving Convention Center property, Sponsor shall have in force an automotive liability insurance policy with a combined single limit of at least $1 million ($1,000,000).
